CUSTOM CRM DEVELOPMENT

A CRM built around the way your business actually works.

Off-the-shelf systems ask you to change your operation to fit their structure. TrueArc designs and builds a CRM around your teams, rules, customer data, assignment logic, reporting, and the way work actually moves through your business.

Custom-built from scratch for your operation.

WHY CUSTOM CRM

Your CRM should fit your business — not force your business to fit it.

When customer data, team coordination, and daily work are spread across spreadsheets, messages, and rigid tools, teams spend more time working around the system.

A custom CRM brings the operation together around the way your business actually works.

  • Bring the operation together

Connect customer data, team activity, follow-ups, and daily work in one system.

  • Work without platform constraints

Shape workflows, roles, permissions, and business rules around your operation — not a predefined template.

  • Replace manual coordination

Turn repeated handoffs, follow-ups, and decisions into system behavior your CRM can manage automatically.

CRM CAPABILITIES

Bring the way your business works into one connected CRM.

From customer data and team workflows to automation, reporting, permissions, and integrations, your CRM can be shaped around the way your operation actually runs.

CAPABILITY 01 / 09

Know every customer in context

Keep customer information, history, activity, and the details your teams need together in one structured place.

WHY TRUEARC

Custom-built vs. ready-made CRM

A ready-made CRM gives you a predefined system to configure. A custom CRM is designed around the way your business actually works.

HOW WE WORK

From understanding your operation to building the system around it.

You don’t need to be technical. We start by understanding how your business works, then turn your decisions, workflows, and requirements into a system built around your operation.

  1. Understand your operation

We start with a meeting to understand the bigger picture — how your teams work, how information moves, where decisions happen, and what you want the system to improve.

You explain the business. We handle the technical translation.

  2. Plan around your decisions

We go deeper into the workflows, rules, permissions, data, and behaviors the system needs. The goal is to make the system reflect how your business actually operates from end to end.

  3. Define the project clearly

Before development begins, we define the agreed scope, project stages, expected timeline, pricing, and responsibilities.

The project is backed by a clear legal agreement so both sides know exactly what has been agreed.

  4. Build with you in the loop

We handle the technical decisions and development. Whenever a decision affects your business rules, workflows, permissions, or operation, we bring it back to you so the system stays aligned with your decisions.

  5. Test, refine, and launch

After delivery, the system goes through an agreed testing period. Issues within the agreed scope are corrected, while additional changes or new requirements can be planned separately.

  6. Warranty and ongoing support

A post-launch warranty period is defined in the agreement before development begins. After that, ongoing maintenance, support, and continued development can be arranged as needed.

AI CAPABILITIES

Add AI where it creates real value.

AI can be designed directly into your system when it genuinely improves the way your business operates — helping teams work faster, automate repetitive work, understand information, and act with better context.

The goal isn’t to add AI for the sake of it. It’s to use it where it makes the system more useful.

MODEL COMPATIBILITY

Connect your system to leading AI models.

Choose the model and provider that best fits your use case, requirements, and operation.

  • OpenAI
  • Anthropic
  • Google Gemini
  • DeepSeek
  • Z.ai (GLM)

Shown to indicate integration compatibility. The right model depends on the project, the data available, and the agreed scope — and adding AI at all is optional.

AI LAYER · OPTIONAL

SHAPED AROUND YOUR OPERATION

  1. AI assistance inside the workflow

Give teams contextual assistance directly inside the system, using the information and workflows already available to them.

  2. Automate repetitive work

Use AI alongside business rules and automation to reduce repetitive tasks and help move work forward more efficiently.

  3. Understand information faster

Help users summarize, organize, classify, or extract useful information from the data and content inside the system.

AI LAYER

Inside your CRM

shaped to your use case

  1. Turn data into useful insight

Use AI to surface patterns, trends, and relevant context that can help teams understand what is happening across the operation.

  2. Build intelligent workflows

Combine AI, system rules, data, and integrations to create workflows that can respond more intelligently to the context around them.

  3. Keep business decisions in your control

AI can support the operation without taking ownership of the decisions that should remain with your team.

BUILT AROUND YOUR USE CASE

The exact AI capabilities depend on what your business needs, the data available, and where AI can provide meaningful value inside the system.

BUILT TO EVOLVE

Your system can evolve as your business changes.

Your teams, workflows, reporting needs, and operation can change over time. Your system doesn’t have to stay frozen after launch.

TrueArc can continue extending and improving it as new requirements appear.

  1. Add new functionality

Extend the system with new capabilities as your operation develops and new needs appear.

  2. Adapt workflows

Change stages, rules, approvals, and processes as the way your teams work evolves.

  3. Evolve reporting

Add new dashboards, metrics, and reporting as the information your business needs to measure changes.

  4. Connect new systems

Introduce additional integrations where APIs are available and they become part of the agreed scope.

  5. Support operational growth

Expand the system as teams, responsibilities, data, and operational complexity grow.

  6. Continue developing

Keep improving the system over time instead of being limited by the version that launched on day one.

ROOM LEFT ON PURPOSE

New work is scoped and agreed as it comes up. The point isn’t unlimited development — it’s that the system can keep changing when your business does.

FAQ

Questions worth answering before we start.

A few practical details about ownership, data, hosting, training, and how changes are handled throughout the project.

  • For fully purchased custom projects, ownership of the custom code developed specifically for the project transfers to the client after all agreed payments have been completed.

For subscription-based systems, the platform and source code remain with TrueArc while the client uses the system as part of the active service.

Reusable TrueArc components, third-party technologies, and external libraries remain subject to their respective ownership and licensing terms.

  • Your business data remains yours.

Whether the system is fully purchased or provided as a subscription, ownership of your customer and operational data remains with your business. Access, storage, export, and retention arrangements are defined as part of the project or service agreement.

  • Yes. Existing data such as customer lists, records, and other structured business information can be migrated where technically feasible.

The exact migration depends on the format, volume, structure, and quality of the existing data and is defined as part of the agreed project scope. Complex cleanup or transformation may require additional work.

  • Yes. A custom system can be planned and delivered in phases when that approach makes sense for the project.

You can begin with the areas that matter most and extend the system later as new teams, workflows, capabilities, or requirements are introduced.

  • Hosting depends on how the system is provided.

For fully purchased projects, the system can be deployed to infrastructure owned or managed by the client, depending on the agreed setup.

For subscription-based systems, hosting and system management are handled by TrueArc. Any external infrastructure or third-party service costs are defined clearly in the agreement.

  • Yes. One onboarding and training session is included to help your team understand how to use the system.

If additional sessions, refresher training, or training for new team members are needed later, they can be arranged separately.

  • That’s completely possible.

If a new requirement appears during or after development, we review it with you first and clarify what it involves, including any impact on scope, cost, or timeline.

Additional work only moves forward once it has been clearly defined and agreed.
